Internal Audit Policy

The purpose of this Internal Audit Policy is to establish guidelines and procedures for the Internal Audit Department of WYFA. The policy outlines the objectives, scope, responsibilities, and standards for internal auditing to ensure the efficient and effective operation of the organization.

The key objectives of the Internal Audit are:

    • Evaluate and improve the effectiveness of risk management, control, and governance processes.
    • Provide independent assurance on the reliability of financial and operational information.
    • Ensure compliance with laws, regulations, and organizational policies.
    • Facilitate continuous improvement through constructive recommendations.
Administrative policy

This Administrative policy is the property of the Women and Youth Future Assist Organization (WYFAO) and for the exclusive use of management and staff. It is the responsibility of each user to keep this Policy secure and distribution to external parties should be approved. WYFAO Management is responsible for establishing and maintaining an accounting and internal control structure that will enhance the effectiveness of the design and operation of the procedures described herein.

Accountability to Affected Populations(AAP) Policy

WYFAO is committed to placing accountability to people affected by disaster and conflict at the core of its emergency policy and practice, from preparedness and the onset of an emergency, through all phases of the program cycle. Accountability to affected populations (AAP) is applicable to all of WYFAO’s programs, whether humanitarian or development. It is highlighted in humanitarian situations due to the exceptional power imbalance between aid providers and recipients, and the urgent needs and increased vulnerability found within crisis-affected communities. WYFAO’s Policy to AAP provides a framework for addressing and integrating issues in emergencies such as gender equality, protection, the inclusion of the aged and people living with disability, and the prevention of sexual exploitation and abuse by WYFAO and partner staff.

Gender Policy

This Gender policy is the property of the Women and Youth Future Assist Organization (WYFAO) and applies to WYFAO’s all programs, advocacy and communication work, and not least within WYFAO. It is the responsibility of each user to keep this Policy secure and distribution to external parties should be approved. This policy lays out WYFAO’s commitments to strive for a world free from discrimination based on gender, and where every human being can fulfil their potential unhindered by discriminating laws, economic and social structures. The policy sets out WYFAO’s commitments and principles for our gender equality work.

Financial Rules and Regulation Policy

WYFAO has reliable financial systems that guarantee disclosure, accountability, careful management of resources, and effective financial procedures. International Financial Reporting Standards (IFRS) is the basis of the WYFAO Financial Manual which provides a foundation to all financial operations. The Financial Manual outlines the rules for managing and spending grants. All financial transactions are entered, tracked, and monitored by WYFAO using QuickBooks, which can be customized in real time to meet the needs of various donors while maintaining the integrity of the financial information. WYFAO conducts external financial audits by a competent audit firm chosen through a competitive recruitment procedure.

Child Protection Policy

This Child Protection policy is the property of the Women and Youth Future Assist Organization (WYFAO) and applies to WYFAO’s all programs, advocacy and communication work, and not least within WYFAO. It is the responsibility of each user to keep this Policy secure and distribution to external parties should be approved. WYFAO is committed to protecting the safety and well-being of child/ children. Thus, WYFAO has adopted this Child Protection Policy that requires all representatives of the organization to conduct themselves appropriately with the children who participate in WYFAO related programs and take reasonable measures to ensure the safety of such children. This policy aims to define the behaviors and actions that constitute child abuse. Additionally, it will lay out organizations expectations behavior, the scope of application of the policy and guidelines for reporting and redressal.

Anti- Fraud Policy

WYFAO is committed to acting professionally and fairly in all of its dealings and relationships, employing the highest standards of openness, transparency and accountability. WYFAO promotes a culture of honesty and integrity, and totally opposes any form of fraud, bribery or corruption. The purpose of the WYFAO Anti-Fraud Policy is to provide clear definitions of what we mean by fraud, bribery and corruption. It is also a definitive statement to Members - making clear that WYFAO will not tolerate fraudulent or corrupt activities, and the giving or receiving of bribes. This policy summarizes the responsibilities of all Members to adhere to and uphold WYFAO’s position on fraud, bribery and corruption.

Anti-Nepotism Policy

WYFAO is dedicated to upholding the greatest standards of openness, transparency, and responsibility in all of its interactions and partnerships while operating professionally and fairly. The purpose of WYFAO’s Anti-Nepotism policy is to avoid favoritism, the appearance of or potential for favoritism, and conflicts of interest and loyalty often associated with nepotism. Nepotism is inconsistent with the WYFAO’s longstanding policy of making employment decisions and other decisions based solely on its needs and individual qualifications, skills, ability and performance.

Program Planning Policy

WYFAO Program Planning Policy in the base of overall technical direction and management of projects, with core partners fully integrated into the program’s structure and local resource partners included to foster learning and capacity building.

Safety and security Policy

WYFAO’s Safety & Security policy describes the organizational safety & security principles and responsibly in order to minimize security risks for WYFAO staff and assets as much as possible, while safeguarding name and reputation and the continuation of WYFAO programs as long as possible, even in insecure situations.

Anti- corruption Policy

WYFAO takes a zero-tolerance approach to corruption and other financial irregularities. WYFAO does not tolerate corruption in relation to any of our work and requires that all suspicions of corruption thought to be in breach of the WYFAO policy are reported to WYFAO. The policy document describes how WYFAO works to prevent corruption or financial irregularities.

Employee training and development policy

The WYFAO Staff Training and Development Policy provides a structure for all employees to grow professionally and learn new skills in a competitive environment. In addition, Policy focus on developing capacity of employees so they may promote into new positions and do their jobs more effectively.

Data Backup & recovery policy

The WYFAO Data Backup & recovery policy is a collection of standards and procedures that specify the organization's approach to creating backup copies of its data for storage. The Policy is describing the process of copying data, keeping it safe from harm or loss, and then transferring it back to another device.

Protection from sexual exploitation and abuse (PSEA) Policy

This PSEA policy is the property of the Women and Youth Future Assist Organization (WYFAO) and applies to WYFAO’s all programs, advocacy and communication work, and not least within WYFAO. It is the responsibility of each user to keep this Policy secure and distribution to external parties should be approved. PSEA policy ensures that all WYFAO staff, associates, and partners are aware of their role and responsibilities in keeping communities and stakeholders safe from any form of sexual exploitation or abuse. The policy clarifies definitions and responsibilities regarding prohibited behavior and the associated PSEA procedures outline the reporting and investigation processes. WYFAO will not tolerate its staff, associates and partners to engage in any form of sexual exploitation or abuse.

Stock Management Policy

The aim of WYFAO Stock Management policy is to ensure the continued availability of materials for rendering services to the community, by following due processes and procedures that are consistent with the council’s supply chain management policy and other applicable legal and Policy frameworks.
