Women & Youth Future Assist (WYFA (https://wyfao.org/about/)) is a non-profiting, non–governmental, and non–political organization that is
mainly involved in humanitarian and developmental activities and serves people in need. WYFA was founded back in 2016 by a group of young afghan
professionals with a high spirit of helping and shaping lives in Afghanistan. WYFA was founded to play a prominent role in addressing the real needs
of poor people and enable all Afghans to speak for their rights and have an enabling environment for their development and prosperity

 

Job Description:


Procurement and logistic Roles & Responsibilities:

 

  1. Create and maintain relationships with venders/suppliers
  2. Estimate and establish budgets for purchases
  3. Make professional decisions in a fast-paced environment
  4. Review all venders and suppliers
  5. Maintain purchase records and other important data
  6. Negotiate pricing and supply contracts
  7. Develop plans for purchasing services, and supplies
  8. Ensure that the products and supplies meet quality standards
  9. Work with team members to complete duties as needed
  10. Maintain and update a list of suppliers
  11. Researching and evaluating prospective suppliers.
  12. Preparing budgets, cost analyses, and report
  13. Update procurement plan.
  14. Undertake other procurement related duties as required by the Project Procurement Team
  15. Logistic of all WYFAO needs and requirements.
  16. Arrange roads and air transportations of Goods and personals in WYFAO as requested be relevant line Manger in accordance with Policy and Procedures.
  17. Repair and Maintenance of WYFAO vehicle.
  18. Assignee vehicle to deriver. Ensure they are familiar with relevant stat up and vehicles maintenance routines tools and kits and spare.
  19. Instruct drivers on assignment, including routs, equipment’s to carry documents and security timetables
  20. Negotiate transportations contracts as necessary according to WYFAO’s policy and procedures; ensure proper monitoring and payment systems.
  21. Report accident immediately to Security Officer ,submits written incident report immediately
  22. Check all registrations and taxations of all vehicles in WYFAO are up to date and appropriate copies are carried in vehicles.
  23. Pay causal contractors for transportations after approved of complete works
  24. Submits Expense record sheets or payment request from and clearance of advances in the ends of day or Week.
  25. To Assist Logistics Sr Officer in preparation of budgets for Vehicle cost and maintenance.
  26. To performs any other related duties as requested by line manger

Managerial Tasks:

  1. Manage inventory
  2. Managing inventories and maintaining accurate purchase and pricing records.
  3. Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
  4. Maintaining good supplier relations and negotiating contracts.
  5. Manage the project procurement through Implementing all policies and procedures related to procurement activities & Ensuring that the WYFAO procurement guidelines are followed in all transactions.


Coordination

  1. Meet with supervisors and department heads to understand the needs across the company
  2. Following and enforcing the company's procurement policies and procedures
  3. Participate in project technical committees or component team meetings in order to ensure timely implementation progress and a focus on
  4. procurement related activities
  5. Coordinate with the Financial Department for regular preparation of Project Management Reports, as a part of the Donor financial reporting requirements

 

Job Requirements:


Experience/ Requirement:
Education:

  1. Bachelor Degree or equivalent in Business / Public Administration
  2. Minimum of 03 years of relevant experience in Logistic with NGO’s , UN, UN funded Projects or similar
  3. Experience in managing and supporting external clients.
  4. Recent experience in supervising teams.
  5. Experience working in procurement Database
  6. Experience in the usage of computers and MS Office packages. Advanced knowledge of spreadsheet and database packages.

Language Requirements:
Fluency in Pashto and Dari; strong knowledge of English is highly required.
